Structured Checks, Less Legwork: Vendor Assessment Workflow

Security documentation, certificates and supplier self-assessments checked against your criteria, rated and documented — in Microsoft 365, with the AI tool of your choice.

Before a vendor gets access to your data and systems, or becomes part of your supply chain, you need evidence as part of your due diligence: the technical and organisational measures (TOMs) annexed to the data processing agreement, the data protection policy, an ISO certificate, a certificate of insurance, or a self-assessment on supply chain and sustainability. AI can make reviewing documents like these much faster and far more consistent. But in most companies, very little of that has made it into day-to-day work. Sometimes each department reviews with its own tool, to its own standards. Sometimes AI isn't available at all, nobody has agreed how it may be used, or the team isn't comfortable enough with it, so due diligence stays manual. And sometimes outside counsel or consultancy takes it on and bills per vendor. Even where the review itself has sped up, the work around it hasn't: requesting documents, chasing them, reading, assessing, recording the outcome — all by hand, and all of it time-consuming.

That's where the Vendor Assessment Workflow comes in. We build the process you have (or the one you need) with AI review against your own criteria built into it. Who uploads what and where, who sees, checks and approves what and when, and of course exactly how the review works: all of it is set by your requirements, in your own Microsoft environment, with the AI tool of your choice. The result is a reviewed document with a clear result that anyone can follow.

Key Benefits

  • Every vendor checked against the same standards
  • One clear result per assessment: a rating for each criterion, open points, and where in the evidence each finding comes from — plus one view across every vendor
  • No evidence left sitting in an inbox: clear ownership, reminders, escalation, visible status
  • Renewals take care of themselves: expiring certificates and reassessments falling due trigger reminders automatically
  • AI review quality that's measured, not judged on gut feel
  • Your review logic, your thresholds, your minimum requirements
  • Audit-ready documentation with no extra effort — the record that you checked is created by the check itself
  • Numbers at last: how many vendors have been assessed, where evidence is missing, and which requirement vendors most often fall short of

The Vendor Assessment Workflow in Detail:

When It's Worth It — and How You'll Know It Works

Think of it as third-party risk management, simplified: no continuous monitoring, no sanctions screening, no platform you have to roll out first — just the assessment you have to do anyway, run as a process. It pays off where assessments come round often enough and mostly follow known rules: TOMs annexed to data processing agreements, certificates of insurance, supplier self-assessments, supply chain and sustainability declarations, evidence from subcontractors.

Every assessment ends as a single line on your vendor list: a rating for each criterion with a reference to where in the evidence it comes from, and an overall assessment that determines what happens next. Whether the assessment meets your standard isn't left to gut feel. Using samples your own experts have already assessed, we measure, criterion by criterion, how closely the AI review matches your requirements. You end up with a number instead of a feeling — and a basis for deciding which criteria can run automatically and which should deliberately stay with a person. If you later change the model or the prompt, simply run the measurement again.

Project Approach and Pricing

The Vendor Assessment Workflow runs on the Power Platform, as part of your existing Microsoft 365 subscription. There's no new software to buy, which also means no procurement process and no security review for yet another cloud service: your documents stay in your tenant, and access runs through your existing identity management. If you already use BRYTER, we can also build this solution there.

The project starts with your requirements catalogue (if you have one). We'll define the review logic with you and then walk through the process you want together — including who needs to check what and when, who gets notified, and which tasks the AI can take on. We'll also agree, for two sample sets of evidence, what a correct assessment looks like. That lets us test how well the AI review meets your requirements as it's being built.

Costs:

  • One-off: from £10,000 / €12,000 / $14,000 — a fixed-price project fee, with no per-user annual licence and no charge per vendor assessed
  • Ongoing costs: your existing Microsoft 365 licence
  • AI model usage, billed on consumption: depending on the model and how much documentation there is, a typical assessment costs pennies, and even a very large evidence pack only a few pounds, euros or dollars
